The rules for using the Web Systems Uganda website and for working with our team on website design, development, SEO, hosting and maintenance projects.

These Terms of Service govern your use of the Web Systems Uganda website and any services you engage us to provide. By using this website — whether you browse, submit a contact form, request a quotation, or hire our team — you agree to be bound by these terms.

If you do not agree with any part of these terms, please do not use our website or engage our services. We recommend reading this page carefully before starting a project with us.

These terms apply to all visitors, clients, and users of our website and services, including businesses, organizations, schools, NGOs and government institutions.

  • Website maintenance

The specific scope, deliverables, timeline, and cost of any project are defined in a written quotation or proposal agreed with the client before work begins.

Website Usage Rules

By using our website, you agree not to:

  • Damage, disrupt or overload the website or its infrastructure
  • Attempt to hack, probe, scan or gain unauthorized access to the website or its systems
  • Copy, reproduce or republish our content, designs or code without written permission
  • Use the website for any unlawful, harmful or misleading purpose
  • Submit false information, spam, or malicious files through our forms

We reserve the right to restrict or block access to anyone who violates these rules, and to take legal action where necessary.

Client Projects

To deliver projects smoothly and on time, every engagement depends on the following:

Clear Requirements

The client provides a clear brief outlining their goals, target audience, features, and any design or branding preferences.

Client Approval

Key milestones such as designs, wireframes, staging builds and final delivery require the client's written approval before moving to the next stage.

Communication

The client responds to emails, WhatsApp messages or calls within a reasonable timeframe to keep the project moving forward.

Required Materials From Clients

The client provides all necessary content and assets — logos, brand guidelines, images, product information, text copy, and any access details needed — before or during the project.

Project timelines may be affected if payments or required materials are delayed. We will always communicate clearly about any changes to the schedule.

Payments

Payment terms are defined in each project quotation. Our standard terms are:

Deposits

Most projects require an upfront deposit — typically 50% of the total project cost — before work begins. This secures your project slot and covers initial planning and design.

Remaining Balances

The remaining balance is due upon project completion and before final handover, launch, or transfer of files and credentials.

Late Payments

Late payments may pause active work, delay delivery, and affect future support. Continued non-payment may result in the project being suspended or terminated.

Ongoing Services

For recurring services such as hosting, SEO, or website maintenance, payments are billed monthly or annually in advance. Failure to renew may result in suspension of those services.

Project timelines may be affected if payments or required materials are delayed.

Website Content Ownership

Ownership of project assets is straightforward but depends on the type of content:

Website Designs

Once the project is fully paid, ownership of the final custom design is transferred to the client. Concepts, drafts and unused explorations remain the intellectual property of Web Systems Uganda.

Code

Custom code developed specifically for the client is transferred upon final payment. Pre-existing libraries, frameworks, and reusable components remain licensed to Web Systems Uganda.

Images & Content

The client is responsible for providing images and content they have the right to use. We may use royalty-free or licensed stock assets where agreed; those assets remain under their original licenses.

Licenses

Third-party licenses — including WordPress plugins, premium themes, and stock subscriptions — remain with their original owners and are subject to their terms.

Third-Party Services

To build and deliver modern websites, applications and hosting environments, we may rely on third-party providers including:

  • Hosting providers
  • Plugins and premium themes
  • APIs and external integrations (payment gateways, maps, messaging, etc.)
  • External software and SaaS platforms

These services are governed by their own terms and privacy policies. While we choose providers carefully, we cannot be held responsible for outages, changes, or failures originating from those third-party platforms.

Service Availability

We work hard to keep our website and services running smoothly and reliably. However, we cannot guarantee zero downtime.

Planned maintenance, hosting issues, security patches, or technical problems can occasionally interrupt access. Where possible, we schedule maintenance during low-traffic hours and provide advance notice to affected clients.

Limitation of Liability

Web Systems Uganda is not responsible for losses or damages arising from situations outside our direct control, including but not limited to:

  • Failures of third-party hosting, plugins, APIs or software
  • Client misuse of the website, systems or content after handover
  • External attacks, hacking, malware, or unauthorized access attempts
  • Loss of business, revenue, data or reputation caused by factors outside our control

Our total liability for any claim relating to a project is limited to the amount the client has paid for that specific project. This limitation applies to the fullest extent permitted by Ugandan law.

Changes to Terms

We may update these Terms of Service at any time to reflect changes in our services, legal requirements, or industry best practices.

When changes are made, we will update the "Last updated" date at the top of this page. Continued use of our website or services after changes are posted means you accept the updated terms.
